Constantly checking emails as they arrive or responding to them immediately can disrupt our workflow and hinder productivity. The constant interruptions from incoming emails make it challenging to stay focused on important tasks and can lead to task switching. Often confused with the term multitasking, task switching negatively impacts productivity.

Benefits of Setting Specific Time Blocks:

Improved Focus: Designating specific times throughout the day to review and respond to emails allows us to focus on our work without the distractions of incoming emails. By avoiding constant task switching, we can devote our full attention to important tasks and increase productivity.

Work-Life Harmony: Managing emails in specific time blocks helps us establish a clear boundary between work and personal time. It prevents the temptation to check emails outside of work hours, reducing stress and preventing the blurring of work and personal life boundaries. Additionally, when we wait to respond to emails it teaches others that we are not always available.

Enhanced Control: Setting aside dedicated time for email management helps us feel more in control of our workload. Instead of feeling overwhelmed by a constant stream of emails, we can prioritize tasks and address emails more efficiently only during designated times.

Steps to Implement this Strategy:

  • Allocate specific time blocks throughout the day for email management. Two or three 30 minute blocks of time are usually all that is needed.

  • During these designated times, focus solely on reviewing and responding to emails. Being focused on the actions that need to be taken in your email will allow this action to take less time and increase your ability to respond to email requests effectively the first time.

  • Prioritize urgent or important emails but avoid getting sidetracked by less critical messages. Create an urgency trigger list for your email. For example, all income producing emails are handled first. Anything that can wait for 7 days can be handled next. Finally, unsubscribe from junk emails.

  • Outside of these designated times, resist the urge to check emails to maintain focus on other tasks and preserve work-life harmony.

Managing emails in specific time blocks is a more effective approach than constantly checking emails as they come in. It allows us to maintain focus on our work, establish a healthy work-life harmony, and feel more in control of our workload. By implementing this strategy, we can increase productivity, reduce stress, and enhance our overall efficiency in handling email communication. Bonus: When we are focused on our email during email time we can focus on our income producing work when it is time for that. This focus increases productivity all around.
